Just like a computer's processor, our minds have limited bandwidth. When we feel overwhelmed by choices or have limited time, our mental efficiency decreases. The more decisions we face, the harder each subsequent choice becomes.
The impact of this mental strain is more significant than we realise. This cognitive overload affects everything from work efficiency to relationships and ultimately limits our capacity for personal growth.
While it might seem that the solution is to have fewer options, what we actually need is "more options with less choice" —meaning we need systems and environments that give us possibilities while removing the constant burden of decision-making.
Reducing your cognitive load
Last week, we talked about organising your physical workspace. This week, we're focusing on your digital systems —capturing and organising information to reduce cognitive load.
Have you ever noticed how scattered documents affect your thinking, waste your time or add to your stress?
When your ideas live in multiple apps, tasks are spread across different tools, and project details are hidden in random documents, your mind starts to mirror that chaos. Each fragmented system, disconnected note, and piece of isolated information nibbles away at your cognitive bandwidth.
Just as we create an organised physical space to think clearly, we need an interconnected digital system to work efficiently. The goal here is to create an environment where:
Information flows naturally between systems
Tools support your thought process instead of interrupting it
Systems reduce decision fatigue rather than adding to it
This week's action is simple but impactful: Take 30 minutes to audit your digital systems.
Choose one area to improve, asking yourself the related questions:
Notes: How do you capture and process ideas? Do you have a system to surface your notes regularly so they won't be forgotten forever?
Knowledge base: Where do you store information? Can you find what you need when you need it?
Task management: How do you manage your tasks? Is your system actually helping you to get things done?
Your workflow: Are your tools talking to each other? How many clicks does it take to find what you need?
The key is not to tackle everything at once —remember what we learned about cognitive bandwidth! Start with one system and create your ideal state there first.
